Virtual Assistant & Ops Support

The problem was never finding a VA. It was having time to train one.

Ongoing marketing operations support from someone who already knows the tools, the funnels and the reporting — so nothing needs explaining twice and nothing quietly falls through while you're with clients.

30 minutes. Bring the list of things you keep meaning to get to.

Why hiring help hasn't helped

Delegating badly costs more than doing it yourself.

"By the time I've explained it, I could have done it."

Most people who say a VA didn't work for them weren't wrong about the person. They were handing marketing operations to someone who'd never run marketing operations, and paying for the training in their own hours.

i.

You became the bottleneck

Every task came back for approval, every tool needed a walkthrough. You gained an inbox and lost an afternoon.

ii.

They could do tasks, not decisions

Fine at what you spelled out, stuck the moment something needed judgement about your funnel or your list.

iii.

Nothing was ever written down

When they left, the knowledge left too, and you started again from an empty document.

What changes

Same forty hours. Spent on entirely different things.

This is the shape of the problem rather than a promise about your calendar. Admin doesn't disappear — it stops being yours.

Admin & ops Client work Growth & strategy Open

An illustration, not a guarantee. The point isn't the exact count — it's that admin is the only category on here that nobody needs you specifically to do.

The honest comparison

You can hire cheaper. Here's what that actually buys.

A general VA costs a fraction of this, and for genuinely general work that's the right call — I'll say so if that's what you need. The difference shows up the moment a task requires knowing why, not just what.

A general VA

Hourly help, managed by you

  • Cheaper per hour, and genuinely fine for inbox, calendar and data entry
  • Needs your tools explained, then your process, then your preferences
  • Executes what you specify; stops when something needs a judgement call
  • Your time is the training budget, and it's spent before the value starts
  • When they move on, the knowledge goes with them
Ops support with Syndivo

Outcomes, handed over properly

  • Already fluent in funnels, email platforms, CRMs and reporting
  • No ramp-up on the tools — systeme.io, GoHighLevel, WordPress, Kit and the rest
  • Handles the decision as well as the task, and tells you what it changed
  • Everything gets written down as we go, so the process outlives the engagement
  • The person doing your ops is the person who understands your marketing

What I take on

The work that keeps the lights on, and off your list.

01

Email & campaigns

Building, scheduling and sending broadcasts, plus keeping sequences and segments tidy behind them.

02

Funnel & site upkeep

Page edits, broken links, new offers added, forms and checkouts tested before customers find the fault.

03

Automation maintenance

Tags, triggers and workflows checked and corrected, so the thing you built six months ago still fires.

04

CRM hygiene

Contacts merged, tags rationalised, lists cleaned. Unglamorous, and the reason reporting can be trusted.

05

Content scheduling

Posts, pins and newsletters queued to the calendar we agreed, so publishing stops depending on your week.

06

Client & course admin

Onboarding sequences, access, enrolments, reminders and the small things that annoy people when missed.

07

Reporting

Numbers pulled and put in front of you on a rhythm, rather than the week you finally remember to look.

08

SOPs as we go

Every repeated task gets documented while it's being done, so the knowledge belongs to your business.

How it runs

Set up once, then it just runs.

01

Audit & access

We list what's actually taking your time, agree what moves, and set up access properly and securely.

02

First fortnight

I take the obvious things off you immediately and document them as I go. You start noticing the gap early.

03

Weekly rhythm

An agreed check-in and a shared list. You add things as they occur to you rather than holding them in your head.

04

Monthly review

What got done, what's still landing on you that shouldn't, and what to hand over next.

Why trust me with it

Ops is a reliability job, not a talent one.

Retainer · PMG Consulting Group Ongoingmonthly and mid-month, without fail

A continuing performance reporting engagement delivered on a fixed rhythm. Recurring work is the honest test of ops support, and it's the work I already do.

Internal systems Built my ownoperations platform

Syndivo runs on a custom Laravel operations system I designed and built. I systemise my own business before I ask to systemise yours.

Across the portfolio 100+brands, 12 industries

Four continents and six build platforms, which means very little in your stack will be new to me.

Honest fit

Worth knowing before you book.

This is the service where being wrong about fit wastes the most of everyone's time.

This is built for you if

  • Your marketing already exists and the problem is keeping it running
  • You're the bottleneck on things that don't need your brain, only your logins
  • You want someone who'll make the small decisions rather than ask about each one
  • You're turning over [ADD revenue band]

Let's talk about something else if

  • You need forty hours a week of general admin. That's a full-time hire, and a cheaper one
  • Nothing is set up yet. Build the funnel or the site first, then hand over the running of it
  • You want someone available instantly at any hour. I work to an agreed rhythm, not on call
  • You'd rather keep control of every step. This works when you hand over outcomes

Before you ask

The questions everybody asks.

How many hours do I get?

[ADD your hours or retainer structure] The honest framing is that you're buying a set of outcomes on a rhythm rather than a block of hours, because hours reward slowness and outcomes don't.

Isn't this just a more expensive VA?

For genuinely general admin, yes, and a general VA is the better buy — I'll tell you that on the call. The difference is judgement. If a sequence misfires or a checkout breaks the day before a launch, you need someone who can see it and fix it, not someone waiting to be told how.

What access do you need?

Only what the agreed work requires, set up through proper team or collaborator accounts rather than shared passwords, and revocable by you at any time. We go through exactly what's needed during setup.

What if I don't have enough to fill the time?

Most people underestimate this and then find the list is longer than they thought once someone else can act on it. If it genuinely isn't enough, we scale down or stop. I'd rather that than bill for filler.

Do I have to commit long-term?

[ADD minimum term and notice period] Ops support gets better with time because the SOPs compound, but you shouldn't be locked into something that isn't working.

What happens if we stop?

You keep the documentation. Every repeated task gets written down as it's done, so if we part ways or you hire in-house, whoever comes next inherits a working process instead of a blank page.

Who actually does the work?

I do. Syndivo is me, Krina Shah, which is also why I take on only a small number of ops clients at a time — this service depends on knowing your business properly, and that doesn't scale by adding names.

Let's build something beautiful together.

Ready when
you are.
